The Role
Working closely with our Enterprise Marketing Director, you’ll be an Event Specialist who is responsible for overseeing the event planning process for a range of event types from large international healthcare conferences to personalized dinners. This role includes planning, organizing, and executing attendance at tradeshows and conferences as well as company-hosted events by managing logistics, budgets, vendors, and internal teams to ensure key objectives are met. Ideally, this person can think outside the box to make Heidi stand out.
What you’ll do:
Planning: Securing events such as tradeshows and conferences and conceptualizing hosted events and creating detailed timelines, budgets, and logistical plans.
Budget management: Adhere to budgets, manage expenses, and report on performance.
Vendor and supplier coordination: Work through the events portal to coordinate booths, merchandise, and other necessities. Liaise with and manage vendors including catering, decor, and entertainment, and to negotiate contracts.
Logistics management: Coordinate all on-site logistics, including venue setup, scheduling, and ensuring the event runs according to plan. Organize all team registrations, travel, and itineraries.
Event marketing: Coordinate with internal teams to ensure a comprehensive marketing plan before, during, and after the event.
Communication: Communicate clearly with all stakeholders to ensure everyone is aligned and has the resources to be successful in executing the event.
On-site execution: Oversee the event as it happens, troubleshoot issues, and ensure a positive experience resulting in the company meeting key objectives.

Post-event analysis: Evaluate the event's success, gather feedback, and create reports.
What we will look for:
5 years experience in event management, managing various types of events preferably in the healthcare industry
Strong organizational and time management abilities
Excellent verbal and written communication skills
Creative problem-solving and decision-making skills
Proficiency in budget and contract management
Ability to work under pressure and manage multiple tasks
Experience with event management software and tools
Strong vendor and people management skills
Experience in a technology startup is a plus
