About the Role
We are looking for a Senior HR Operations & Workplace Associate to join our People Team in Vietnam. This role ensures that our HR and workplace operations run seamlessly and efficiently — enabling our HRBPs and people leaders to focus on strategic business partnering.
You’ll own, optimise, and automate key HR operations and workplace processes, drive automation initiatives, and help build the systems and discipline that keep our people experience consistent, compliant, and scalable. This is a hands-on role that blends HR expertise, workplace operations, and the ability to leverage AI to improve efficiency. You will play a key part in ensuring employees have a seamless experience throughout their journey — from onboarding to offboarding — while keeping our workplace productive, safe, and engaging.
Your Adventure Ahead
- HR Operations
- Manage the full employee lifecycle: onboarding, contract administration, probation, transfers, and exits - ensuring a consistent, compliant, and positive employee experience.
- Coordinate payroll inputs, social insurance, PIT, and benefits with the payroll vendor - delivering accurate and timely payroll performance with zero compliance breaches.
- Maintain HR systems (HRIS) - ensuring data accuracy, integrity, and compliance to support reporting, audits, and decision-making.
- Identify, design, and implement AI or automation solutions: (e.g., automated contract generation, employee query bots, workflow routing, analytics dashboards) to reduce manual work and improve turnaround time.
- Prepare HR metrics, dashboards, and compliance reports for leadership where is needed - providing actionable insights that support workforce planning, risk management, and strategic decisions.
- Partner closely with HRBPs and regional HR: align local operations with broader people initiatives.
- Workplace & Employee Experience
- Oversee daily office and workplace operations: including supplies, facilities, meeting rooms, safety, pantry, and vendor management — ensuring a smooth, safe, and efficient environment with minimal disruption to employees.
- Partner with IT and regional functions for workplace tech support and equipment allocation: ensuring employees have the tools and equipment they need to be productive from day one.
- Coordinate and organise wellness initiatives, team events, and engagement activities: strengthening employee morale, collaboration, and overall workplace experience.
- Anticipate and resolve workplace issues: proactively identifying patterns, implementing solutions, and using automation/AI where possible to reduce recurring problems and improve efficiency.
- Provide actionable recommendations: to improve the employee experience, using data, feedback, and workplace insights to support continuous improvement.
Essentials to Succeed
- Bachelor’s degree in HR, Business, or related field
- 3–5 years of HR operations or HR generalist experience, with exposure to payroll, compliance, and workplace/facility management.
- Understanding of Vietnam labour laws, social insurance, and compliance processes.
- Experience using or piloting AI-enabled HR tools (e.g., HR chatbots, workflow automation, or document generation).
- Hands-on experience with HRIS, AI tools (e.g., chatbots, generative AI for documents, workflow automation).
- Analytical, detail-oriented, and solutions-driven.
- Strong collaboration and communication skills — able to work closely with internal teams, managers, and regional teams.
- Excellent interpersonal skills; able to balance employee needs and business priorities.
